We are currently looking for a Housing Services Coordinator to join our team and we are looking for confident, patient and flexible individuals with experience in managing properties. Purpose of this post: To work in the Property Department, and Tenancy Management Team, coordinating all property management and tenancy management services in the South East region. To be successful in this role you will need experience of Property Management and Tenancy Management. It would be advantageous to also have experience of working with vulnerable people, and/or dispute resolution. You will represent South East Simon Community’s property team to coordinate and deliver all aspects of effective Property and Tenancy management. You will be responsible for ensuring that you / the team effectively and efficiently resolve all property and tenancy related queries. You will provide expert property and tenancy related advice, decision making, direction, administration, reports. You will ensure that practice complies with policies, procedures, aims and values of the Community. It is therefore critical that you have:

  • Relevant experience in Property Management, and Tenancy Management including resolving breaches of tenancyWorking knowledge of all relevant GDPR, RTB, AHBRA and H&S regulations and legislation.
  • Strong organisational and time management skill.
  • Good communication skills and customer care for team mates, stakeholders and tenants alike.

Some of the key duties of the role include:

  • Work closely with maintenance to prepare properties for new tenants promptly.
  • Coordinate property viewings and lettings, including repairs and ordering fixtures.
  • Ensure all tenants have tenancy agreements and register with the Residential Tenancies Board.
  • Coordinate the tenant move-in process and notify utilities companies.
  • Ensure adherence to tenancy agreements by both landlords and tenants.
  • Foster a supportive environment for tenants, ensuring awareness of rights and responsibilities.
  • Conduct routine property inspections and manage tenant queries.
  • Address tenant breaches of agreement promptly and effectively, adhering to Housing First principles.
  • Listen to and respond to complaints promptly, investigating fully and ensuring tenants are aware of appeals processes.
  • Resolve complaints from tenants, management companies, and neighbours effectively.
  • Issue notices when necessary, ensuring compliance with agreements and regulations.
  • Manage tenant move-out process, including agreements and support.
  • Work collaboratively with Tenancy Sustainment & Housing First Services to plan for tenancy cessations and new allocations.
  • Ensure compliance with statutory bodies such as the Residential Tenancies Board.
  • Optimize and protect rent income and rent allowance.
  • Maintain accurate records of rent arrangements, collections, and arrears.
  • Ensure administrative responsibilities are carried out, including maintaining records and reporting incidents.
  • Generate and maintain up-to-date statistics and reports for management.
  • Establish and maintain positive relationships with neighbours and property management companies.
  • Respond effectively to complaints and ensure tenants understand their obligation to be good neighbours.

The ideal candidate for this post will have:

  • At least 3 years post qualification experience working in Property Management within a customer focussed environment
  • Relevant experience in Property Management, and Tenancy Management
  • Working knowledge of all relevant General Data Protection Regulations (GDPR), Residential Tenancies Board (RTB), Approved Housing Bodies Regulatory Authority (AHBRA) and Health and Safety (H&S) regulations and legislation.
  • Strong organisational and time management skills, to coordinate team members and tasks, and report on progress
  • Good communication skills and customer care for team mates, stakeholders and tenants alike.
  • Full Driving Licence and access to own car
